Cancellation Policy

1. Individual Appointments
We understand that circumstances can change. Clients are asked to provide as much notice as possible when cancelling or rescheduling an appointment.
Appointments cancelled or rescheduled with less than 24 hours notice, or appointments that are missed without notice, may incur a cancellation fee of full amount.Â
Exceptions may be considered for unexpected illness or emergencies.

2. 8-Week Program Packages
Active Physiology offers structured Exercise Physiology programs and session packages, which may include multiple appointments delivered over a specified period.
When purchasing an 8-week program:Â

The program fee reserves the client's place and the scheduled services included within the program.

Individual sessions within the program remain subject to the cancellation and rescheduling requirements outlined above.

Sessions cancelled with less than 24 hours notice or missed without notice will be considered a used session and will not be replaced or refunded.

Clients who are unable to attend a scheduled session should contact Active Physiology as soon as possible to discuss rescheduling options.

3. Withdrawal From a Program
If a client chooses to withdraw from an 8-week program after it has commenced, any refund or credit for unused services will be considered on a case-by-case basis, taking into account:

The number of sessions already completed

Services already provided

Any resources or personalised programs already prepared

The circumstances surrounding the withdrawal
Where appropriate, Active Physiology may offer a refund or credit for eligible unused services.
Nothing in this policy excludes or limits any rights a client may have under applicable Australian Consumer Law.

4. Program Expiry
8-week programs are intended to be completed within 3 months from the commencement date.
Where circumstances prevent a client from completing the program within this timeframe, an extension may be considered at the discretion of Active Physiology.

5. NDIS, Medicare and DVA Services
Cancellation and non-attendance arrangements may vary depending on the relevant funding program and applicable requirements.
Clients receiving services through NDIS, Medicare, DVA, or another funding arrangement will be advised of any specific cancellation requirements applicable to their services.
